Terms And Conditions
1. Scope
These terms and conditions are between you and Hotel Het Gheestelic Hof, and apply to all bookings of hotel rooms in Hotel Het Gheestelic Hof. You agree that you will make reservations in good faith for legitimate use by you and your invited guests only and not for any other purpose, including but not limited to reselling, impermissible assigning or posting on third party websites, or making speculative, false or fraudulent reservations or any reservation in anticipation of demand.
2. Room rate and city tax
The room rate charges agreed when you made your reservation will apply to your booking. Meals, drinks and other extras are not included in room rate charges, unless otherwise agreed. All charges include VAT and are shown and must be paid in local currency. Room rate charges must be prepaid on non-refundable offers, all other charges must be paid on check-out or check-in. To all bookings city tax will apply.
3. Cancellation, modifications and no-show
We have flexible and non-refundable rates. For the flexible rates, cancellation of the reservation is possible by 15:00, four days before your arrival, unless otherwise specified at the time of your reservation. If you cancel your reservation after 15:00, four days before arrival, we will charge the full amount of the booking. Peak periods may have additional cancellation restrictions, of which you will be informed at the time of reservation. With a non-refundable rate it is not possible to change or cancel your reservation, and the total reservation sum including city tax will be directly charged to your credit card. If you have booked a room through the use of a travel agency or an online travel agency (such as Booking.com), you must cancel or modify your booking through the agency that you used to make the booking.
4. Check-in
Check-in is from 15:00. In the case of an early arrival, we advise to come to our hotel and we will do utmost to check you in as soon as possible. If this is not possible, we will be happy to store your luggage for you. In this manner, it is possible to enjoy Bruges, and check-in at a later time. We request you to inform us beforehand about your arrival time, and in case of late arrival after 22:00, it is essential that you contact us in order to avoid “no-show” and charges related to it, and for us to be able to provide you with the room access instructions.
5. Check-out
Check-out time is till 11:00. If you have not checked-out by 11:00, a late check-out fee may be charged. If you have not checked-out by 3pm we may charge an extra night. Open balances will be charged to your credit card on file.
6. Breakfast
Breakfast is served during the week from 7:00 till 11:00. During the weekend breakfast is served from 7:30 till 11:00.
7. Luggage
It is possible to leave your luggage on the day of check-out free of charge. Just contact us and we will keep it in our luggage room for you.
8. Late check-out
Depending on availability, late check-out may be possible against payment of an additional fee.
9. No show
In the unfortunate event of not showing up on the day of arrival the full amount of the reservation including taxes will be charged to your credit card. Note: if the room is not checked-in by 24:00, the system will automatically put the room as a ‘no show’. This means the reservation is cancelled, but the obligation to pay for the full amount of the reservation including taxes remains. You are required to let us know if you arrive after 24:00, so we can hold the room for you and provide you with relevant instructions for your room access.
10. Invoice
An invoice will be sent to the email address provided at the time of booking or at the time of check-in. Invoices cannot be modified after check-out.
11. Age
If you are underage and you are not accompanied by someone of age 18 or older Hotel Het Gheestelic Hof reserves the right to evict you from the hotel.
12. Room occupancy, children and extra beds
The maximum occupancy of a double room is 2 people, a triple room can host 3 people, a family room 4 people. There is no capacity for extra beds in the room. Children up to 15 kg and 120 cm can sleep in a baby cot in some of the rooms, which needs to be reserved in advance at a fee. Maximum 1 baby cot per room.
13. Pets
Unfortunately, pets are not allowed.
14. No smoking
Hotel Het Gheestelic Hof is strictly a non-smoking hotel. Smoking is prohibited in the rooms and the entire hotel, and smoking and/or tampering with the fire alarm will result in a fine of €250, – (two hundred and fifty euro).
15. Parking
The hotel has a limited number of parking places available at an extra fee. To reserve a parking place please contact reception desk.
16. Damage to hotel
Any damage to rooms or the hotel premises caused by your party during the stay and items missing upon your departure will be charged to your credit card on file.
17. Valuables and Lost Items
You acknowledge and agree that Hotel Het Gheestelic Hof cannot be held liable for lost, damaged or stolen items. If you leave an item behind, it is your own responsibility to retrieve such item.
18. Wireless internet access (free of charge)
Our wireless network is provided without warranties of any kind, either expressed or implied. We do not guarantee that access to our wireless network will be uninterrupted, timely, secure or error-free at all times or will meet your requirements. We are not responsible for the security, integrity, accuracy or completeness of any information that you transmit or receive while using our wireless network. Our wireless network is provided to you at our discretion. Your access may be blocked, suspended or terminated for any reason.
19. Recording and photography
Any audio and video recording, photo shoot, reproduction or representation of images including the premises and buildings of the hotel other than for strictly private use is subject to our prior approval. Permission can be obtained by contacting us.
20. Liability of Grand Hotel Normandy
Our liability to you shall not exceed the amount of the charges paid by you to us save to the extent any liability cannot be excluded or limited by law. We will also not be liable to you for any special, indirect or consequential loss or damage.
21. Force majeure
Hotel Het Gheestelic Hof does not accept liability or pay any compensation for its failure to provide services contracted due to circumstances beyond our control, (natural) disaster, fire, (acts of) war and terrorism, industrial disputes, adverse weather conditions, strikes, riots, civil disorder, governmental regulations, or any other catastrophic event, circumstance or emergency, making it impossible, illegal or preventing guests from staying in Hotel Het Gheestelic Hof.
22. Group Reservations
We request you to contact the hotel if you wish to make a group reservation. We consider a reservation of 5 or more rooms to be a group reservation and are subject to management revision and approval.
23. Governing law and jurisdiction
These terms and conditions and any bookings made under them shall be governed by and construed in accordance with Belgian law. This choice of law is without prejudice to consumer protection afforded by provisions that cannot be derogated from by agreement by virtue of the law which, in the absence of any choice, would have been applicable in the country where you reside.

1. Purpose of Processing and Lawful Basis:

Managing your reservation: According to GDPR Article 6(1)(b), the processing is required in order for a contract in which you are a party to be fulfilled.
Communication: To perform services, notify you of changes to our products or services, or offer customer assistance, we may need to give you a call or send you an email. According to GDPR Article 6(1)(f), the processing is required for the data controller’s legitimate purposes.
Establishing an Account: in order to enable account creation for upgraded services. Your consent, which is the foundation for processing, is reversible at any moment (Article 6(1)(a) GDPR).
2. Data Retention:
We never keep your personal information on file longer than is strictly required to fulfill the purposes for which it was acquired.
